Documents

Documents shows what arrived at mScan and what became of it. People with the Scan role see their own documents, managers every document of the company.

The list

  • All · Needs attention · Done: Needs attention collects what someone should look at; Done is filed and completely read.
  • Search by sender, shop, subject, title or person; Filters by status, source and kind.
  • Each row shows who the document is from and what it is, its kind, how it arrived (scan app or email), its status and two downloads: Input (the original as it arrived) and Output (the file that was filed).

Statuses

Status Meaning
Queued / Processing being processed
Done filed
Incomplete filed, but a key detail (e.g. date, amount, currency) could not be read — check and correct it
Partly filed filed in one place, not in another
Failed not filed; the document's page says why
Waiting for pipeline nothing is set up yet for this kind of document — Earlybyte sets it up, then it carries on by itself
Monthly limit reached the monthly allowance is used up; the document waits for next month

Several at once (managers)

With Select you pick documents — one by one, a whole day or the whole page — and can download them together (as a zip), process them again or delete them.

A document's page

Clicking a row opens the document: original and result side by side, the data read, where it was filed, and its history. ← and → step through the list.

Managers can:

  • Edit data — correct a misread detail (e.g. date, amount, VAT, category). Then File again so the filed file and spreadsheet row are right too.
  • Edit pages — turn, reorder or leave out pages. The original stays unchanged.
  • Change type — say that a receipt is really an invoice (or the other way round).
  • Process again — have the document read again from the start.
  • File again — file the result again, e.g. after a correction. A file in the same place is replaced.
  • Recreate the receipt sheet — make the receipt sheet again with the current data.

When only part of it failed, Retry what failed tries exactly that part again — people with the Scan role may do this for their own documents too.

Deleting and restoring (managers)

Delete deletes mScan's copy — with a reason, which is recorded. Copies already filed (e.g. in SharePoint) stay where they are. Deleted documents are under Filters → Deleted, where Restore brings them back until they are removed for good after the agreed period (usually 30 days).
